Air conditioning, boilers, appliances, car service
LiveService & Work Orders
Every service job from fault report to hand-over in one work order: customer, device or vehicle, technician, parts, approval, payment.
Service & Work Orders is a work-order app for businesses that repair devices or vehicles, such as air-conditioning, boiler, appliance and car-service shops. You record the customer, their address and their device (or vehicle) and assign the job to a technician; the technician sees the job on their phone, takes photos, fills in the checklist and gets the customer’s signature. If extra work comes up, the line waits for customer approval, and the job cannot be completed until it is approved. Parts come off stock, a payment receipt is issued, and customers whose maintenance is due show up in a call list. The service slip and the intake form are information documents, not tax documents.
Your account opens with Service & Work Orders. It stays open for 15 days, no credit card needed.
How it works
- 01
Record the customer and the device
Customer, address and device or vehicle (brand, model, serial number or plate, warranty end) are entered once; later jobs attach to that record.
- 02
Open a work order and assign it
Write the complaint, choose on-site or workshop, give a technician and a time; the job lands in the technician’s column on the day board.
- 03
The technician does the job
On the phone screen they see their jobs, take photos, fill in the checklist, add parts and labour and get the customer’s signature. Extra work goes to the customer for approval.
- 04
Hand over, take payment, follow up
When the job is completed, parts come off stock; a payment receipt is issued and the service slip is handed over. When maintenance falls due, the customer enters the call list.
Who it’s for
- Air-conditioning and boiler service companies
- Appliance and small-device repair shops
- Car-service shops, tyre, LPG and car air-conditioning workshops
- Any technical service that works on site or in a workshop
Example
An air-conditioning service company
An illustrative flow; it does not describe a real business.
- Monday, 09:00
A customer calls to say the air conditioner is not cooling. The advisor records the customer and the device and opens a work order; because the warranty has not ended, the cover is “warranty” and the amount payable shows 0.
- Monday, 09:10
The job is assigned to a technician on the day board with an appointment time. The technician sees the job and address on their phone and calls the customer or opens the address in maps.
- Monday, 14:00
The technician taps “Arrived”, fills in the checklist and takes before and after photos. A capacitor must be replaced: a part line is added and marked “pending approval”.
- Monday, 14:20
The customer opens the link from the service on their phone, sees the line and approves it. The approval is recorded on the work order with their name, the time and the “link” channel. While a line is unapproved the job cannot move to “completed”.
- Monday, 15:30
The technician completes the job; if Stock is on, the part comes off stock. The customer signs on the phone screen. The work done goes onto the service slip.
- Next day
The job is delivered. The customer is given a short satisfaction-survey link; low scores stand out in the report.
- 11 months later
As the yearly maintenance plan comes due, the customer appears in the call list. The advisor calls or opens a WhatsApp link for that one customer, records the outcome (called, booked…) and opens a maintenance work order in one click.
Live today
Records, roles and personal data
- Customer record: person or company, several addresses; warns when the same phone number already exists
- Device and vehicle record: air conditioner, boiler, water heater, car, motorbike, LPG kit, generator and more; brand, model, serial number or plate, warranty end; mileage for vehicles
- Records are archived, never deleted, and can be restored
- Four roles: manager, advisor, technician, viewer; a technician works only on jobs assigned to them
- The viewer role sees phone numbers and email addresses masked
- ID and driving-licence numbers are not stored
Work orders and the day board
- Work-order statuses: new, scheduled, in progress, waiting for approval, waiting for parts, completed, delivered, cancelled; every step is in the event log
- On-site or workshop jobs; phone, walk-in or web channel
- Day board: technician columns and unassigned jobs
- Job list: filter by status, technician, date, overdue and due soon
- Warranty cover: on a job under warranty the amount payable is 0; a repeat-fault warning within a year on the same device; a free repeat-repair option
Parts, labour and customer approval
- Part, labour, travel and other lines; part class (original, equivalent, other, used) and a record of whether the replaced part was shown or returned
- Every line added once the job has started waits for customer approval; the job cannot be completed with an unapproved line
- Approval is recorded by phone, in person, in writing or through the customer link; who, when and through which channel is logged
- A travel charge cannot be added on a job under warranty
- With Stock on, parts tied to a product record come off stock when the job is completed; reopening or cancelling the job reverses it
Technician phone screen
- “My jobs today” on the phone: time, address, call, open in maps; the next job
- Photo upload and customer signature (drawn on the phone screen)
- A suggested checklist by device type; a note can be added to each item
- Vehicle intake record: mileage, fuel level, damage spots, accessories, valuables, customer requests
- Arrived / left time records; location is off by default and, if turned on, is read once at that moment only (no continuous tracking)
- While offline, status, notes, checklist, lines and arrived / left are queued and sent when the connection is back; photos and signatures need a connection
Customer link and documents
- Customer link without a login: the customer follows the job status and approves or rejects pending lines; in three languages, valid for 30 days
- Staff send the link to one customer by WhatsApp or email and log it; there is no automatic or bulk sending
- You can revoke or renew the link at any time
- Intake form and service slip: printable; they carry the note “This document is not a tax document”
- Customer satisfaction: a survey link after delivery (score, recommendation, note); results and low-score alert in the report
Payments, maintenance and reports
- Payment receipt: cash, card or bank-transfer entry; part payment, voiding a receipt (it is not deleted, it stays as voided)
- Maintenance plan: by date and, for vehicles, mileage; the plan advances itself when a job is delivered; vehicle inspection tracking
- Call list: upcoming maintenance and expiring contracts; outcome record and a maintenance work order in one click
- Maintenance contract: period, included visits, end date, renewal; remaining visits show on the work order (the fee is a record only)
- F-gas record: gas and amount in the device, charge / recovery log, leak-check calendar, technician certificate expiry warning (records and warnings only; nothing is sent to an official system)
- Reports: jobs in the period, average repair time, jobs per technician, cover breakdown, repeat faults, payments
Works together
Because the blocks share one core, these links work today.
- Inventory
If Stock is on, parts used on a work order come off stock when the job is completed; the product record is shared.
- Forms & Surveys
The customer-satisfaction survey after delivery runs on the Forms & Surveys core; responses show up in the Service report.
Good to know
- The service slip, intake form and payment receipt are information documents, not tax documents; the invoice is issued separately. This product does not issue e-invoices or work as a fiscal cash register.
- There are no online card payments; a “card” payment is a record that the payment was received.
- No automatic SMS, email or WhatsApp goes to customers; staff send the link or message one by one, to a single customer. There is no bulk messaging.
- There is no live location tracking or route optimisation; a technician’s location is read once, only when they tap “Arrived / left”, if the setting is on.
- The F-gas section is for records and warnings; it sends nothing to official systems such as EKOMVET and is not legal advice.
- An approval given through the customer link is recorded with the name, time and channel; ask your lawyer about the legal status of approvals given at home or away from the business premises.
- Field Operations (cleaning, pest control, facility maintenance) is a separate product.
The shared core underneath
The same in every block: users, permissions, security and records.
- Your own company space
- Each company’s data is isolated from others and lives at its own address.
- Roles and permissions per app
- A separate role per user per app; managers see only their team.
- Two-factor authentication
- A code sent by email; turned on per company.
- Audit log
- Who changed what, and when — recorded.
- You choose where your data lives
- AWS Frankfurt (EU) by default; on request, your own servers (on-prem).
- Interface in three languages
- English · Turkish · Azerbaijani. Arabic can be added on request.
